Important Changes, Please Read Carefully

DSS Data Exchange XML Bulk File Upload (Report)


CSM Flex will now be able to support uploads to DSS Data Exchange. This will mean you do not have to enter data manually into DSS Web Based portal. CSM Flex also ensures your clients will be De-Identified in the DSS Data Exchange Database, protecting your client’s privacy.


CSM Flex has dramatically reduces the amount of time you spend on data entry, by streamlining cases, sessions and linking clients automatically. CSM Flex will also isolate records that have only been funded by DSS, allowing you to generate separate reports for other funding bodies.


Clients, Relationships, Cases, Sessions, Referrals and Scores, will automatically compiled in the XML Bulk File.

    Getting Started - Setup only needs to be done once!

  • Your organisation first needs to be able to login into DSS Data Exchange Web Portal,
    to create your organisations account visit
    https://dex.dss.gov.au/

  • You then need to have a list of Approved DSS Outlet Activities.




    IF THIS LIST IS EMPTY

    If there is no outlet, you need to add an outlet.
    Then you need to add an Activity to that Outlet eg Financial Crisis and Material Aid - Emergency Relief.
    If the Activity says "Waiting for Approval" you must wait or contact DSS for it to be approved.
    The Activity must say "Approved" before you can continue to the next step!





    NEXT STEP

  • In your DSS Account please click on Reference Data,

    and Click "Outlets and Programme activities data" to download your organisations OutletActivtyData.xml


  • Login to CSM Flex as the administrator - Click on Global Reports -> DSS Data Exchange -> Setup OutletActivtyData.xml
    Select the location of the file "OutletActivityData.xml"

  • Please note if you only have one office and one outlet then you will not see this window, this step will be done automatically for you.

    Otherwise;
    Match the Office Names with the correct Outlet Names.
    This is a very important step to ensure your outlet data is uploaded to the right outlet in the DSS Web Portal.






  • Click on the Resources Menu-> Edit
    Check if all the Emergency Relief Resources correctly match a DSS Service Type.
    Double click on each resource in the List.
    ONLY Make Changes to the "Service Type" drop down menu NOT the Resource Name.



    If a Resource is NOT funded by DSS;
    If you want to provide session records for that resource to DSS, select Service Type "Intake/Assessment".
    OR
    If you do NOT want to provide session records for that resource to DSS, select Service Type BLANK.




      Generating the Data Exchange XML Bulk File

        • Click on Global Reports -> DSS Data Exchange ->Bulk File Upload -> Select Start, End Date and Select the correct Outlet.
          (To begin with, generate an XML Bulk File for ONE day only, and upload to test your DSS Data Exchange Account.)

        • Review the Report Summary.
          Correction can be made by the administrator in Table View. If you make corrections you will need to generate the report again.

        • To upload your XML File, log into DSS Data Exchange Web Portal.
          Click "Uploaded Files"

          Upload the file, by default the DEX Bulk File can be located on your desktop; eg. DEX_Outlet_2015-06-29.xml





          Please Note: that XML files can be uploaded at any time, and if changes are made to clients or cases then a new upload will update the DSS Data Exchange Web Portal.

          New Form Changes

        • Please Note:
          Number of Unidentified Clients can be used to capture dependents, however this number is not sent to DSS Data Exchange unless this is a General Record and you are recording group activity.
        • If you wish to send dependent data to DSS Data exchange you must click add relationship and add a new client.




          Service ID is now called Case ID, and Session ID has been added to forms.

          Outlet Activity [DSS]

          This is a generic form that can be used for all of your organisations approved DSS Outlet Activities. (Except for Emergency Relief which has separate Form).
          You may add extra fields to "Outlet Activity [DSS]" to cater for your organisations needs.


          1. You must select Activity if you are recording DSS Service.
          2. Reason For Assistance (optional), first tick on the primary reason then tick on other reasons.
          3. Referral Source (optional)
          2. You must then select a Service Type if you want to record a DSS Service.
          3. Parenting Agreement and Section 60I and are only applicable to;


        • Family Dispute Resolution
        • Regional Family Dispute Resolution
        • Parenting Orders Programme
